Simple guide to automation

Automation helps you set up simple tasks that happen by themselves. This can save you time, improve your client experience and reduce the chance of forgetting important follow-ups.


What is automation?

Automation helps you set up tasks that happen automatically, without you needing to do them manually.

For example, you can send a booking reminder to your clients before their appointment.

Why use automation?

Automation can help you:

  • Save time, so you do not need to send messages manually.
  • Improve your service, so your clients feel looked after.
  • Reduce mistakes, so important follow-ups are not forgotten.

Step 1: Find automation

From your dashboard:

  • Click Automation from the menu on the left.
  • You will now see your automation page.

Step 2: Create a simple automation

To create a new automation:

  • Click + Create Workflow.
  • Choose Start From Scratch.
  • Give your workflow a simple name, such as Booking Reminders.
  • Click Save.

You will now have an empty workflow, ready to build.

Example: Set up a booking reminder

Let’s create a simple reminder for a client’s appointment.

Add the trigger

  • Click Add Trigger.
  • Choose Appointment Reminder as the trigger.
  • Set when you want the reminder to send, such as 1 hour before the appointment.

This means the automation will start before a booking.

Add the action

  • Click Add Action.
  • Choose Send SMS or Send Email.
  • Write your reminder message.
Example message:
Hi [First Name], just a reminder about your appointment today at [Appointment Time]. See you soon!

Once you are happy with the automation, click Save and then Publish.

Your clients will now automatically receive reminders without you needing to send them manually.

Quick tips

  • Always test your automation first. You can test it with your own mobile number.
  • Keep your messages short and friendly.
  • If you are unsure, start with just one automation. It is better to build slowly.
  • Remember your SMS allowance. Once your allowance is used, each SMS is charged at 5p.
