Assigning Tasks or Leads to Your Team


Why Assign Work to Team Members?

Assigning leads or tasks to your team helps you:

    • Share the workload fairly.
    • Make sure every enquiry is followed up.
    • Keep things clear, so everyone knows what to do.
What Can You Assign?

You can assign:

    • Leads or new enquiries (from forms, bookings, chats, etc.)
    • Appointments or bookings
    • Tasks (like follow-up calls or reminders)
How to Manually Assign a Lead or Task
  1. Go to Contacts in the left-hand menu.
  2. Click on a contact (a client or lead).
  3. Scroll down and find the Assigned User field.
  4. Select the team member you want to assign the contact to.
  5. Click Save.

Now that team member will be in charge of that client.

How to Assign Automatically Using Automation

Let’s say you want new leads from your website form to go to a team member:

  1. Go to Automation in the left-hand menu.
  2. Click “+ Create Workflow“.
  3. Start from scratch, or use a simple trigger like “Form Submitted“.
  4. Add an action:
    • Click “Add Action“, then choose “Assign to User“.
  5. Choose the team member you want the lead to go to.

Now every time the form is filled in, the contact will be sent to that team member automatically.

Round-Robin (Optional)

If you have more than one staff member, you can choose “Round Robin” instead of a single user.

This means the system will rotate leads fairly between them.

Great for sharing new enquiries evenly!

Quick Tips
    • You can change the assigned user anytime by editing the contact.
    • Use automation to avoid doing it manually every time.
    • Make sure each user knows to check their inbox or tasks.
