Assigning tasks or leads to your team
Assigning leads, tasks and enquiries to your team helps everyone know what they are responsible for. It keeps your follow-ups organised and makes sure no client enquiry gets missed.
Why assign work to team members?
Assigning leads or tasks to your team helps you:
- Share the workload fairly.
- Make sure every enquiry is followed up.
- Keep things clear, so everyone knows what to do.
What can you assign?
You can assign:
- Leads or new enquiries from forms, bookings, chats and other sources.
- Appointments or bookings.
- Tasks, such as follow-up calls or reminders.
Step 1: Manually assign a lead or task
To manually assign a lead or task:
- Click Contacts from the menu on the left.
- Click on a contact, client or lead.
- Find the Assigned User field.
- Select the team member you want to assign the contact to.
- Click Save.
That team member will now be responsible for that client or lead.
Step 2: Assign automatically using automation
You can also assign leads automatically. This is useful if you want new enquiries from your website form to go straight to a specific team member.
To set this up:
- Click Automation from the menu on the left.
- Click + Create Workflow.
- Start from scratch, or use a simple trigger such as Form Submitted.
- Click Add Action.
- Choose Assign to User.
- Select the team member you want the lead to go to.
Now, every time the form is filled in, the contact will be sent to that team member automatically.
Round-robin assignment
If you have more than one staff member, you can choose Round Robin instead of assigning everything to one user.
This means the system will rotate leads fairly between your selected team members.
This is a great option if you want to share new enquiries evenly across your team.
Quick tips
- You can change the assigned user at any time by editing the contact.
- Use automation to avoid assigning leads manually every time.
- Make sure each user knows to check their inbox or tasks.
