Sending appointment reminders with automation
Appointment reminders help reduce no-shows, keep clients prepared and save you time. Once your automation is set up, reminders can be sent automatically without you needing to do it manually.
Why send appointment reminders?
Sending appointment reminders:
- Helps reduce no-shows.
- Keeps clients prepared for their visit.
- Saves you time by automating the process.
Step 1: Open automation
From your dashboard:
- Click Automation from the menu on the left.
- Click + Create Workflow.
- Choose Start From Scratch.
- Give your workflow a simple name, such as Appointment Reminder.
- Click Save.
Step 2: Add the trigger
The trigger tells the automation when it should start.
- Click Add Trigger.
- Choose Appointment Status.
- Set it to trigger before the appointment happens.
You can set the reminder to send 1 hour before or 1 day before the appointment, depending on what works best for your business.
Step 3: Add the reminder message
Next, add the message you want the client to receive.
- Click Add Action.
- Choose Send SMS or Send Email.
- Write your reminder message.
Hi [First Name], just a reminder about your appointment with us at [Appointment Time] today. See you soon!
Step 4: Add another reminder
You can add a second reminder if you want to send one the day before the appointment as well.
To do this, repeat the same steps above with a 1-day before trigger, then update the message so it matches the timing.
Hi [First Name], this is a friendly reminder that your appointment with us is tomorrow at [Appointment Time]. See you soon!
Step 5: Save and publish
Once you are happy with the automation, click Save.
Then click Publish to make the workflow live.
Your appointment reminders will now be sent automatically based on the timing you selected.
Quick tips
- Test it by setting up a test appointment and checking that the reminder sends correctly.
- Personalise the message with the client’s first name and appointment time.
- Keep the reminder short and clear.
- If you have a location or special instructions, include them in the reminder, such as parking information or what to bring.
