Sharing bookings evenly across your team
Round-robin booking helps spread appointments fairly across your team. Instead of all bookings going to one person, the system takes turns assigning bookings to available team members.
What is round-robin booking?
Round-robin means new bookings are automatically shared out evenly between your team.
Instead of all appointments going to one person, the system takes turns assigning them, one after the other.
Why use round-robin?
If your business has several employees, round-robin helps you:
- Share appointments fairly between team members.
- Keep calendars balanced, so no one gets overwhelmed.
- Reduce waiting times for clients.
- Make sure everyone gets a chance to work with new bookings.
Step 1: Go to your calendar settings
From your dashboard:
- Click Calendars from the main menu.
- Click + New Calendar or edit an existing calendar.
Step 2: Choose round-robin booking
When setting up your calendar, look for the section called Team Members or Assigned Users.
- Select two or more staff members.
- Choose the option for Round-Robin booking.
Tip: Round-robin booking only works when you have more than one team member selected for the calendar.
How it works
Here is an example:
- You have 3 team members: Sarah, Lee and Chloe.
- A client books an appointment, and it goes to Sarah.
- The next booking goes to Lee.
- The next booking goes to Chloe.
- After that, the rotation starts again with Sarah.
The system will check who is available and assign bookings fairly.
Customising the setup
You can also:
- Set working hours for each team member in their user settings.
- Adjust availability in the calendar settings, such as breaks or holidays.
- Limit how far in advance clients can book.
Quick tips
- Make sure each team member has their own user account.
- Round-robin only works when all selected users have availability in their calendars.
- You can remove or add users from the rotation at any time.
That's it! Your bookings can now be shared evenly across your team.
