How Team Members Can Reply to Clients

Why Use the Conversations Inbox?

The Conversations inbox helps your team:

    • Reply to clients by SMS, email, Instagram DM or Facebook Messenger, all in one place.
    • Keep messages organised by team member.
    • Track all communication without switching apps.
How to Find the Conversations Inbox
  1. Log in to your dashboard.
  2. Click “Conversations” from the left-hand menu.
  3. You’ll see all recent messages from your clients.
How Team Members Can Reply
  1. Click on any message to open the chat with that client.
  2. Type your reply in the message box at the bottom.
  3. Choose whether to send it by SMS, email, or other available channels.
  4. Click Send

The client will get the message and can reply as normal.

Assigning Conversations to the Right Team Member

You can assign each conversation to a specific user so:

    • The right person handles the message.
    • No one replies by mistake.

To assign a chat:

  1. Click on the conversation.
  2. At the top, find the “Assigned User” dropdown.
  3. Choose the team member responsible.

They’ll now be able to manage the reply and follow-up.

Filtering Messages by Team Member

If you have a larger team:

  1. Click “Filter” in the inbox.
  2. Choose “Assigned User” to view only messages for one team member.

This helps everyone stay focused and avoid overlap.

Quick Tips
    • Make sure each user is logged into their own account. No shared logins!
    • Team members should check the inbox daily so no client is left waiting.
    • Use friendly, clear messages. Clients love good communication.
