Team Member Permissions

Controlling what your team members can see and do

User permissions help you control what each team member can access inside your dashboard. This keeps your account tidy, protects important information and makes sure each person only sees the tools they need.


Why set permissions?

Permissions help you:

  • Control access, so team members only see what they need.
  • Protect your data, so private or sensitive information stays secure.
  • Keep things tidy and avoid confusion or mistakes.

What are user permissions?

When you add a team member to your account, you can choose what they are allowed to access.

You can control:

  • What they can view.
  • What they can edit.
  • What features they can use, such as calendars, contacts and conversations.

Step 1: Open your staff settings

From your dashboard:

  • Click Settings from the menu on the left.
  • Click My Staff.
  • Click on the user you want to edit.
  • Scroll down to the Permissions or User Roles section.

Step 2: Choose the right role

You can choose from a few default roles.

Admin

Admin users usually have full access to everything in the account.

This is best for owners, managers or trusted team members who need to manage the whole system.

User

User access is more limited and is usually better for regular staff members.

You can decide what they can see and what they can do.

Tip: Keep Admin access for owners and managers only. Most team members only need access to the tools they use day to day.

Step 3: Customise what they can access

For users, you can usually tick or untick the tools they are allowed to use.

Common options include:

  • Calendars - Let them manage bookings.
  • Contacts - Let them view or edit customer details.
  • Conversations - Allow them to reply to messages.
  • Workflows/Automation - Usually best left for Admins only.

Choose what is best for their role. For most team members, less access is usually better.

Step 4: Save your changes

Once you are happy with the settings, click Save.

Your team member will now only see the tools they need and nothing else.

Quick tips

  • You can edit permissions at any time by going back to the team member’s profile.
  • Start with limited access, then open up more if needed.
  • Always keep Admin access for owners and managers only.
